# Why your clients should own their own tool accounts

By Gareth B. Davies · Updated July 2026

Owning the login isn't a formality. It's the difference between a client who trusts you and one who's already planning your replacement.

Every agency builder eventually gets asked to build something inside a tool the client hasn't paid for yet, or worse, inside an account the agency itself created. It feels efficient in the moment. You already have the API keys, you already know the platform, so why make the client go set up their own n8n instance or their own Airtable base? The answer is that whoever owns the account owns the control, and handing that control to yourself instead of the client is a decision that looks fine right up until the relationship gets tested.

Think about what happens the first time a client questions an invoice, or wants a second opinion on the build, or simply gets a new hire who wants to look under the hood. If the automation lives in your account, they cannot show anyone. They cannot audit it, cannot hand it to an employee, cannot even confirm it is still running without asking you. That is not a client relationship, that is a hostage situation with a monthly retainer attached, and clients figure this out eventually even when they cannot articulate why they feel uneasy about it.

There is also a simpler, less cynical reason. A client who owns the account is a client who is invested. They see the workflow inside their own Airtable, their own automation platform, their own dashboard, and that visibility is what turns a one-off project into an ongoing relationship worth paying for. Isolated, quantified pain is what justifies the price of automation in the first place, and a client who cannot see the tool cannot see the pain being solved.

Ask who logs in tomorrow if you disappear.

If the honest answer is nobody, you have built a dependency, not a deliverable. The fix costs you almost nothing up front, just have the client create the account, add you as a collaborator, and pay for their own seat. It costs you a little convenience and maybe a slightly higher setup friction on day one. What it buys is a client who can vouch for you to other clients, who can grow the system after the engagement ends, and who never has a reason to wonder what happens to their business the day you stop answering the phone.
